Position Description:
Soltage is seeking a Procurement Manager to join our Project Management team and own end-to-end equipment and materials procurement across the Company’s project portfolio, from early identification of long-lead items through purchase order execution, vendor management, inventory custody, and dispatch to site. The Procurement Manager will serve as the central point of coordination between the Development, Engineering, Project Management, and Finance teams on all third-party supply decisions and the movement of company-owned equipment. As Soltage continues to scale, this individual will be a key architect of the Company’s procurement and inventory processes, systems, and controls. The ideal candidate brings direct experience procuring major solar and energy storage equipment, managing physical inventory across multiple locations, and supporting construction projects through delivery.
Job Responsibilities:
Long-Lead Equipment Procurement:
- Own the long-lead procurement schedule for all active and near-term projects.
- Manage the procurement of PV modules, inverters, transformers, battery energy storage systems (BESS), switchgear, and balance-of-plant materials.
- Partner with Engineering and Project Management to identify long-lead items at Full Notice to Proceed (FNTP) and initiate procurement.
- Track all open purchase orders from issuance through delivery and acceptance, and escalate delivery risks to senior leadership.
- Maintain portfolio-level purchase order records, including open orders by project, vendor, delivery date, and status.
Vendor Management and RFQ/RFP Process:
- Manage Soltage’s approved vendor list for key equipment categories, and evaluate new vendors against cost, quality, and lead-time criteria.
- Prepare and run competitive RFQ/RFP processes for equipment and materials where multiple qualified suppliers exist.
- Maintain price benchmarks by equipment type and market, and flag deviations to senior leadership before purchase order execution.
- Develop and maintain vendor scorecards tracking delivery performance, defect rates, and warranty claim history.
- Negotiate pricing, payment terms, and warranty provisions in equipment supply agreements, and coordinate with Legal on non-standard terms.
Inventory and Logistics Management:
- Own the master inventory ledger for all Soltage-owned equipment and materials across storage locations nationwide, including modules, transformers, BESS units, switchgear, and other owner-furnished equipment.
- Conduct or coordinate regular physical inventory counts, reconcile counts against the ledger, and resolve discrepancies with Finance and Portfolio Management.
- Allocate inventory to projects in line with construction schedules, and ensure equipment is released and dispatched to site in alignment with EPC mobilization timelines and NTP windows.
- Manage logistics from storage locations to project sites, including transportation vendor selection, freight coordination, and chain-of-custody documentation.
- Monitor equipment condition at receipt and throughout storage, and report any damage, storage risk, or warranty claim to senior leadership and Engineering.
- Maintain a real-time inventory dashboard showing units on hand and allocated vs. unallocated inventory by equipment type, location, and project.
- Coordinate with Project Management and Finance to ensure inventory movements are accurately reflected in project cost tracking and draw certifications.
Safe Harbor and Compliance:
- Support annual Safe Harbor procurement programs for modules and transformers, coordinating with Legal and Portfolio Management on contract execution and payment schedules.
- Track Safe Harbor inventory allocation, including covered projects, designated equipment, and delivery schedules against contracted requirements.
- Ensure procurement and inventory records satisfy applicable compliance and tax documentation requirements.
Contract and Cost Management:
- Prepare and execute purchase orders and equipment supply agreements.
- Track equipment costs against project budgets and approved amounts and flag scope changes or price escalation.
- Coordinate equipment procurement approvals on financed projects and ensure all draw conditions related to equipment delivery are satisfied.
- Prepare the procurement and inventory sections of internal and external reporting packages.
- Lead the implementation of a procurement system module, including SOP development and data migration from existing tracking tools.
Experience and Education Requirements:
- BA/BS degree in supply chain management, business, engineering, or a related field is preferred.
- Minimum of five (5) to seven (7) years of procurement, supply chain, or project controls experience in solar, energy storage, or construction.
- Direct experience procuring major capital equipment such as PV modules, inverters, BESS, and transformers.
- Demonstrated experience managing physical inventory across multiple locations, including ledger maintenance, reconciliations, and logistics coordination.
- Experience coordinating equipment dispatch and logistics to active construction sites.
- Proven ability to manage competitive RFQ/RFP processes from solicitation through award.
- Familiarity with construction project delivery models, including EPC, design-build, and owner-furnished equipment.
- Familiarity with ITC Safe Harbor requirements.
- Experience supporting lender draw processes or owner’s representative functions on capital-intensive projects.
- Background in contract administration or legal coordination on equipment supply agreements is preferred.
- Experience in distributed generation or C&I solar at an IPP, developer, or EPC firm is a plus.
- Advanced proficiency in Microsoft Excel for procurement and inventory tracking. Experience with Salesforce, Procore, or ERP systems is a plus.
- Excellent written and verbal communication skills.
- Ability to work effectively with EPC contractors, equipment vendors, logistics providers, lenders, and internal leadership.
